Personal Information Download Policy and Criteria
Dataspace treats personal information protection as the highest priority and manages data in compliance with the Personal Information Protection Act. When personal information needs to be collected through a survey, be sure to use the 'PI question' type provided by Dataspace.
When handling data containing personal information, the following security policies apply.
✅ Only members with permission can download
Only members assigned the 'Privacy' role can download the original personal information data included in survey results.
✅ Download reason required
When downloading original personal information data, a download reason must be entered to prevent inappropriate use.
✅ Collection only after respondent consent
All personal information is collected only from respondents who gave prior consent in the survey and is securely protected within the system. Personal information files that have been downloaded must be stored securely in accordance with internal security regulations, and as a principle, they must be destroyed immediately once their purpose has been fulfilled.
How to Download Original Personal Information
For surveys that include 'PI questions,' the original data can only be viewed when downloading in Excel, CSV, or SPSS format. For security purposes, it cannot be directly viewed or accessed on the web screen (such as the analytics dashboard).
step 1. Select the survey whose result data you want to download and navigate to the [Analytics] screen.
step 2. Click the [Download] button at the top of the screen, then select the download icon or email send icon to the right of Excel, CSV, or SPSS under 'Response data.'
step 3. When the 'Download' screen appears, make the following selections.
Under 'Download,' select one of Excel, CSV, or SPSS.
In the 'Advanced options' section, check the [Include PI original text] item. If this option is not selected, some information will be provided in a masked state such as Kim**, 010-****-1234.
Select a specific download reason from the pop-up window, then generate the file. The generated file can be downloaded directly or sent by email.
💡 Usage tip | Users with Admin permission can separately check the download history and reasons for personal information downloads by members.
Frequently Asked Questions
Q. I don't have permission and cannot download result data containing personal information.
A. For personal information protection, only users with 'Privacy' permission can download result data containing personal information.
This permission can only be granted by the Space's Admin account. If you don't have the permission, please request permission from an administrator in the [Settings > Members] menu.
Q. I downloaded the data but the personal information is masked.
A. When downloading data, please check the [Include PI original text] item in the 'Advanced options' section.
If this option is not selected, some information may be provided in a masked state such as Kim**, 010-****-1234.
