What Is Personal Data Upload Status?
Dataspace provides the [Personal Data Upload Status] feature for systematic management of contact information uploaded using the 'Add via file' feature for survey distribution.
Scope of management: All personal data added via 'file upload' in SMS, notification message, and email collection groups
Automatic destruction: Uploaded personal data is automatically destroyed 300 days after the collection group creation date, regardless of the subscription plan.
Manual destruction: If immediate deletion is required due to security policies, personal data can be destroyed at any time, even before the scheduled destruction date.
How to Destroy Personal Data Immediately
The destruction method and permissions differ depending on the collection status. Choose the method that fits your situation.
1️⃣ Before collection starts
If messages have not yet been sent or collection has not yet started, anyone can immediately delete the uploaded file.
step 1. From the Dataspace home, navigate to [Settings > Personal Data Destruction] from the left menu, then click [Personal data upload status].
step 2. A list of surveys and collection groups to which personal data was added via 'file upload' is displayed. Identify the survey you want to delete and click the [Delete upload info] button on the right.
step 3. Click [Remove file] in the settings for that collection group to destroy the uploaded file.
2️⃣ After collection starts
Once message distribution has already begun, personal data can only be destroyed when all of the following conditions are met, for security purposes.
Permission condition: A member with both project access permission and the Space's Privacy permission
Status condition: Collection must be in a 'Closed' state (destruction is not possible while collection is in progress or paused)
step 1. From the Dataspace home, navigate to [Settings > Personal Data Destruction] from the left menu, then click [Personal data upload status].
step 2. A list of surveys and collection groups to which personal data was added via 'file upload' is displayed. Identify the survey you want to delete and click the [Delete upload info] button on the right.
step 3. Closed collection groups appear. Click 'Sending history,' then select [Destroy immediately].
💡 Usage tip | Once personal data is destroyed, re-sending the survey or collecting additional responses will not be possible. Be sure to proceed with destruction only after the survey has been completely closed.
⚠️ Before destroying, please make sure to check the following!
Personal data destruction is an irreversible operation. Please confirm the following before proceeding.
Upon destruction, all information that can identify respondents — including names, phone numbers, email addresses, and UIDs — will be deleted, and it will not be possible to re-identify respondents afterwards.
If there is any possibility that you may need to identify respondents in the future, please download the raw data and back it up separately before destroying.
