What Is Result Data Download?
This feature saves the insights derived from Dataspace in various file formats for use in external reports or further analysis. You can select what you need to download — from complete reports to individual charts or respondent-level raw data.
1️⃣ Downloading Analysis Results
step 1. Select the survey whose result data you want to download and navigate to the [Analytics] screen.
step 2. You can download from any tab on the Analytics screen. Click the [Download] button at the top of the screen.
step 3. Select the file format you need and download.
Results tab (PDF): Download the complete analysis results viewable in the Results tab as a summarized PDF document. (Chrome browser is recommended.)
Crosstab tab (Excel): Download the crosstabs you have configured as an Excel file. (Only available when an analysis target has been set.)
Report tab (PPT): Download the analysis results, including text and charts, as a PPT report file that can be freely edited.
2️⃣ Downloading Response Data (Raw Data)
step 1. Select the survey whose result data you want to download and navigate to the [Analytics] screen.
step 2. Click the [Download] button at the top of the screen, then select the download icon or email send icon to the right of Excel, CSV, or SPSS under 'Response data.'
step 3. Select each item according to what you need.
✅ File format
Excel: A comprehensive data file containing the variable list, response data, and label information together.
CSV: A response data-focused file with a lighter file size.
SPSS: A ZIP file containing an import guide and labeling file ready for direct use in SPSS.
✅ Data notation
Select how the data will be displayed.
Value: Receive data in numeric form. (e.g., 1, 2, 3) Useful when using statistical analysis tools.
Value label: Receive data as actual response text. (e.g., Apple, Banana, Orange) Convenient for immediately checking content in Excel.
✅ Advanced options
Configure the variable scope, responses to include, and the display method for multiple responses.
Variables
All variables: Download all variables included in the survey.
Select variables: Manually select only the variables needed for analysis to download.
Responses
Exclude hidden responses: Exclude responses that have been hidden due to cleaning or over-collection.
Include hidden responses: Download including all hidden responses. (Requires edit permission or higher)
Multiple response notation
Separate by column: Separate multiple-choice or ranking responses into individual columns.
Separate by comma: Display multiple responses in a single column separated by commas (,).
✅ Variable settings
When a specific variable type is selected, the following additional settings are available.
Include images: Choose whether to attach image responses as actual images in the Excel file, or replace them with the text 'image' to reduce file size.
Include PI original text: When personal information has been collected, choose whether to download in its original form or in a masked state for security.
💡 Usage tip | The results of your selected data notation and advanced option settings can be immediately verified in the preview at the top.
💡 Usage tip | If 'Send by email' is selected, the logged-in account is automatically entered as the 'Recipient email,' which can be modified before sending as needed.
💡 Usage tip | If no options are changed, response data will be provided in the following format by default:
File format: Excel
Data notation: Value
Variables: All variables
Responses: Include hidden responses
Multiple response notation: Separate by column
Frequently Asked Questions
Q. How can I check whether the email was sent successfully?
A. Click the [Email send history] button in the [Download] menu at the upper right. You can check the sending, completed, and failed statuses in real time. Even if you close the window while it shows 'Sending,' the task will proceed normally.
Q. Can I save just a single chart as an image?
A. Yes. On the individual variable screen in the Results tab, clicking the save button saves that chart alone as a PNG image file.
Q. I want to export only a specific question as a PPT, not the entire report.
A. In the [Report tab], click the download button at the bottom of the relevant variable. You can individually download a one-page PPT, PDF, or PNG file containing only that question.
