I have a question about embedded data (FAQ)

Q1. What is embedded data functionality?

Embedded data is information about respondents that users already have, rather than being newly collected through survey responses, and can be included in the results and used for analysis. Representative examples include information that the company has about customers, such as their name, age, gender, membership level, and store name they visited.

This respondent information can be made into a question when conducting a survey and asked to be answered once more, but this unnecessarily increases the number of questions, which can only be an uncomfortable experience for both the survey operator and the respondent.

Embedded data is a function that was created to solve the inconveniences mentioned above, so that you can use or match the information of respondents that you have already obtained when answering a survey. Thanks to this, Dataspace can provide a personalized response experience by adding the information of respondents that you have already obtained to the survey, and you can also use it for detailed analysis by combining it with the survey response results.

Q2. In what situations is the embedded data function used?

With embedded data, you can provide a personalized response experience with just one survey. Let’s take an offline store visit customer satisfaction survey as an example. If you conduct a satisfaction survey for each store without embedded data, you will need to create and operate a satisfaction survey questionnaire for each store when you want to measure satisfaction for each store. Otherwise, you will not be able to confirm which store the response is for.

In the data space, you can use the embedded data function to add data by store name and reflect it in the survey. Then, you can provide a personalized response experience to customers by store, and when analyzing data, you can analyze the satisfaction survey results by store name separately or in an integrated manner.

Q3. What are the embedded data types?

The embedded data types in the data space are as follows. The data types will be expanded in the future.

① URL parameters

This is a method of registering customer information already stored in the company's DB as a parameter key in the data space and adding it to the survey URL. It is generally used when you want to utilize the information for a specific survey one time without registering the customer information in the data space.

② MY Panel Profile

This is a method of registering customer information held by the company using the MY panel profile function of the data space and adding it to the survey. It is generally used when you want to manage customer information as a panel in the data space and frequently use it for regular surveys.

Q4. How do I use the embedded data function?

To utilize embedded data when editing a survey in the data space, you must register the respondent information to be used in the space as a parameter key or MY panel profile, add embedded data to the desired survey and reflect it in the questions, and create a collection group that includes embedded data.

Q5. Can embedded data be used only for ‘reference’ purposes?

Data collected as embedded data added to the survey is stored in the results.

However, we recommend that you only use personal information such as member name, ID, and phone number to personalize the survey and not store them in the result data for the purpose of protecting personal information. In this case, if you set the 'URL parameter reference' function in the survey question, it will only be used for survey reference and will not be stored in the result data.

Q6. Can I modify a parameter key once it has been registered in the data space?

You cannot modify parameter keys that have already been registered. If you need to change them, delete the parameter key and then register it again.

Q7. How many parameters can be used in one survey?

Although there is no limit to adding URL parameters in the dataspace, we recommend including no more than 10 per survey to ensure stability, as there are URL length limitations based on the respondent's browser.

Q8. What happens if I send a survey without filling out the respondent information corresponding to the parameters in the response link or without a panel corresponding to the MY panel profile I created?

If you send a survey without a reference value, the reference area will be displayed as blank from the respondent's perspective. This can be a bad experience for the respondent, so to prevent this, you can set a 'default value' that is displayed when there is no reference value.

Q9. Can I use the parameter function by using a separate tool or directly entering parameter values in the response link later?

If you do not add parameters to the survey and enter them separately after the link, the parameter function will not be activated. This is because there is a step in the Open Survey system to verify whether the parameters were created through normal procedures. Therefore, if you want to use parameters, you must use them in the way provided by Dataspace.
