What is a Privacy question?
A Privacy question is a question type used to collect information that can directly identify a respondent. Name, phone number, email address, physical address, date of birth, company name, and job title all constitute personal information. If you need to collect this data, you must use the Privacy question type.

When respondent information is needed to provide rewards for survey participation.
When confirming attendance for briefings, meetings, or events and providing location or schedule updates to attendees.
When recruiting participants for experience groups or beta tests and subsequent individual guidance is required.
When you need to prevent duplicate responses or verify eligibility in surveys requiring identity verification.
Why should I use Privacy questions?
Privacy questions help protect respondents' personal information securely and manage it systematically within DataSpace. Therefore, it is highly recommended to use the Privacy question type whenever personal information is collected.
1️⃣ Only members with Privacy permissions can view the data.
While response data collected through general questions can be viewed by all members, data collected through Privacy questions can only be accessed or downloaded by members with "Privacy" permissions. This ensures safer management by restricting access to only those who need it.
2️⃣ Data is automatically destroyed after a certain period.
Data collected through Privacy questions is automatically destroyed 300 days after the survey creation date. You can also manually set a shorter period (less than 300 days) if necessary.

To manage and protect collected information safely, please familiarize yourself with the following in advance:
1️⃣ Personal Information Destruction Date
Data collected via Privacy questions is automatically deleted 300 days after the survey is created. For even more secure management, you can manually set a destruction date shorter than 300 days. Note that data cannot be recovered once the destruction date has passed, so ensure the data is used for its intended purpose within the set timeframe.
2️⃣ Retention Period of Collected Personal Data
The scheduled destruction date for each survey can be checked in the Results tab under the Privacy question section of the ‘Analysis’ screen. Once data is destroyed, the ‘Scheduled Destruction Date’ will automatically change to ‘Destruction Completed Date’.
3️⃣ Downloading Personal Information Results
Response results for Privacy questions are automatically hidden and not displayed on the analysis screen. To check results, a member with Privacy permissions must download the raw Excel data. If a member without permissions downloads it, responses corresponding to Privacy questions will appear masked.
Composing Privacy Questions
1️⃣ Question
This is the area to enter the question text to be shown to respondents. You can adjust font size or style using the formatting editor and insert links, tables, images, or videos to improve readability.
2️⃣ Collection Items
An input area for respondents to enter their personal information will appear. ‘Name’ is set as the default option, but you can change it to Phone Number, Email, Address, Date of Birth, or Other at the top of the question.
💡 tip | Use the ‘Other’ option to collect information such as company name or job title.
3️⃣ Setting Destruction Date for Privacy Responses
You can check the destruction date under the ‘Personal Information Response Destruction’ item in the right-hand settings. The date is automatically set to 300 days after the Privacy question was added, but you can manually change it to a date within those 300 days. It cannot exceed 300 days.
💡 tip | The destruction date can only be changed when responses are not being collected. If you cannot edit it, check the [Collection] tab to see if any groups are currently active.
💡 tip | Changes to destruction dates and response collection are restricted starting two days before the scheduled destruction. In this case, please copy the survey and collect responses through a new one.
💡 tip | You can also view surveys that have collected personal information and set destruction dates via [Settings > Personal Information Destruction] in the left-hand menu of the DataSpace home.
Frequently Asked Questions
Q. I need to collect phone numbers; can I use a general short-answer question?
A. No. Since phone numbers are personal information, please use the Privacy question type for secure collection and management. Using the Privacy question type provides protective features like access control and automatic destruction.
Q. I am using Panel Self-Survey; why can't I use Privacy questions?
A. According to DataSpace policy, collecting personal information from "Consumer Panels" is not permitted. Furthermore, since DataSpace directly provides rewards for consumer panel surveys, there is no need to collect personal information for reward purposes.
