Changing the Email Sender

This article explains how to set up an email sender using your company domain, as well as the full process from registration and adding senders to sending surveys. Use the sender change feature to run trustworthy email communications.

What is Email Sender Change?

In Dataspace, you can set the sender address used when sending emails to your company or organization's domain. One domain can be registered per space, and multiple sender email addresses can be added and used under that registered domain.

Why Should You Use Email Sender Change?

1️⃣ Recipients can easily verify the source of the email and open it with confidence

Emails sent from an official company domain clearly display the sender's identity, allowing recipients to quickly determine whether the email is genuinely from the company.

Additionally, emails with a clear source are more likely to be opened and links clicked without hesitation.

2️⃣ You can deliver more consistent and trustworthy communications

When customers consistently receive emails from the same official sender address, they become familiar with that brand's communications and trust forms naturally. This consistency goes beyond simple message delivery — it creates a sense of stability and professionalism around the brand.


How to Change the Email Sender

💡 Usage tip | By default, emails are sent from Dataspace's outbound-only address: collector@fdback.me.

1️⃣ Request domain registration.

📌 Domain registration requests and cancellations can only be made by members with Admin permission.

step 1. From the Dataspace home, go to [Settings > Email sender], then click [Domain settings].

step 2. On the domain settings screen, enter the domain you want to register and click [Request registration].

💡 Usage tip

  • Only lowercase English letters (a–z), numbers (0–9), and certain special characters (., -) can be entered for the domain.

  • Domains from email account services like Gmail, Yahoo, or Naver, or domains not owned by your organization, cannot be registered.

step 3. Once the registration request is complete, the Dataspace team will send setup instructions to the requesting member's email within 2 business days. The instructions include procedures required for domain verification, such as DNS record registration and SPF/DKIM/DMARC authentication.

step 4. After completing the setup according to the instructions, the Dataspace team will verify and approve the domain. If the request is rejected, the specific reason will be communicated via email, and you can reapply after making the necessary corrections.

2️⃣ Add email senders.

📌 Email senders can be added by all members belonging to the space.

step 1. Once domain approval is complete, click the [+ Add email sender] button in the registered domain area to register a sender.

step 2. You can add multiple senders as needed. Up to 99 senders can be registered per space.

💡 Usage tip

  • Sender names can be up to 100 characters including spaces. Emojis cannot be used.

  • Sender addresses can be up to 50 characters with no spaces, and can only contain lowercase English letters (a–z), numbers (0–9), and certain special characters (., _, %, +, -).

  • Duplicate sender names and addresses are not allowed.

3️⃣ Send surveys using the added sender address.

After creating a survey and selecting email as the collection method, you can select a pre-registered email sender in the sender settings area to send the survey.

FAQ

Q. The domain registered in my space has changed.

If the registered domain has changed, you will need to update the email sender information to match the new domain or add new senders.

If the sender address domain does not match the currently registered domain, a warning message will be displayed before sending. In that case, please re-select or reconfigure the registered email sender.

If you proceed with a sender address that does not match the registered domain and start survey collection, emails will automatically be sent from Dataspace's outbound-only address (collector@fdback.me).
