Sending a Survey via 'Email'

This article explains how to send survey links via email to My Panel or external respondents through Dataspace, and how to efficiently manage everything from response collection to resending.

What is Email Sending?

Email sending is a method of sending survey participation links to My Panel members or external respondents registered in Dataspace via email and collecting their responses.

💡 Usage tip | My Panel refers to the respondent panel that users directly register and manage in Dataspace — such as their customers or employees.

You can compose the subject and body of the email directly in Dataspace and manage all necessary sending settings, including whether to mark it as an advertisement. This lets you handle everything from survey distribution to response collection in one place, without needing a separate external sending tool.

When to Use Email Sending

Email is well-suited for surveys where respondents need to read and understand the content fully before participating, or when the survey's purpose and background need to be communicated in detail. It is also effective for formal communications and surveys where you want to convey brand image.

  • When formal communication is required, such as a regular satisfaction survey for brand customers

  • When sufficient pre-explanation is needed, such as survey purpose, participation instructions, and privacy information

  • When you want to send a branded survey invitation email incorporating your logo and visuals


Sending a Survey via Email

1️⃣ Select 'Email' on the Collect screen

step 1. After completing the survey and all required logic settings, click [Collect].

step 2. Click [New collection group] and select [Email], or select [Email] under "Send the survey from the space."

2️⃣ Configure the collection group

step 1. Selecting "Email" will create a collection group named "Email collection group." You can rename it as desired.

step 2. Choose how to add respondents: either [Add from My Panel] or [Add from a file].

✅ Add from My Panel

📌 My Panel is available on the Enterprise plan.

You can select survey respondents from panelists registered in My Panel and send the survey to up to 200,000 people.

  • Send to all panelists: Activate the "Send to all panelists" toggle to send the survey to all panelists registered in My Panel.

  • Send with conditions:

    • Set conditions based on profile variables registered in My Panel to send the survey only to panelists who match those conditions.

    • Targeting conditions can be combined by clicking [Add AND condition] to add conditions to one respondent group, or [+ Add targeting condition] to add another respondent group as an OR condition.

💡 Usage tip | If no profile variables appear in the targeting settings, click [Go to add profile variables] on the right to register profile variables in My Panel first.

✅ Add from a file

  • Upload user email information in CSV or XLSX format to send the survey directly to respondents included in the file.

  • You can send to up to 200,000 people at once.

  • Click [File upload], download the upload template via [Download upload template], fill in the information, and upload the completed file.

💡 Usage tip | The uploaded file can only contain the respondent's name, UID, and email address. This limits detailed profile-based analysis (e.g., by gender or age). If detailed analysis is needed, register panelists in My Panel and use the [Add from My Panel] method.

💡 Usage tip | Personal information uploaded via file (name, UID, email) will be automatically deleted 300 days after the collection group is created, regardless of subscription status. Only the UID will be stored in survey data for 300 days and can be used for analytical purposes.

3️⃣ Compose the email content

step 1. Write the email content to send to respondents.

  • Subject: Enter the email subject within 50 characters.

  • Body: Write the email content to deliver to respondents. You can preview it in real time on the right side, and use formatting tools to improve readability.

  • Images can be registered as JPG or PNG files up to 10MB. Adding a brand logo makes the email more official and trustworthy.

  • Contact: Enter the customer service phone number or email address of the organization or company sending the survey. This is required so respondents can reach out with survey-related questions.

  • Button name: A button for responding to the survey will be included in the email. You can enter up to 15 characters for the button name. The default value is "Respond to survey."

  • Ad marking: If the email body contains promotional content, enable ad marking to display "(Ad)" in the subject line. (※ Not available when respondents are added via file.)

  • Send settings: Choose either "Send immediately" or "Scheduled send."

💡 Usage tip | Scheduled send may be restricted in the following situations:

  • The space you are currently using is not subscribed to a plan

  • Collect credits, email credits, SMS credits, or AlimTalk credits are insufficient

  • The number of targeted recipients is 0 at the time of sending

step 2. Click [Test send] to preview the email that respondents will actually receive.

💡 Usage tip | Emails are sent from Dataspace's outbound-only address (collector@fdback.me). Changing the sender email address is only available on the Enterprise plan. Users on that plan can add sender addresses in [Email sender management] and select a sender when setting up email sending.

4️⃣ Configure Advanced Settings

In Advanced Settings, you can configure detailed options suited to your survey operation, such as whether to exclude previous respondents, whether to collect responses anonymously, and whether to allow duplicate responses.

step 1. Select whether to include or exclude "Previous respondents."

The "Previous respondents" feature lets you choose whether to include or exclude panelists who have already responded to this survey from the current send list.

  • Set to Include: Panelists who have previously responded to this survey can participate again.

  • Set to Exclude: Panelists who have already responded will be automatically excluded from the send list.

📌 The "Previous respondents" feature is available when sending surveys to My Panel via email or KakaoTalk AlimTalk.

📌 The "Exclude previous respondents" feature cannot be used when anonymous collection is enabled.

step 2. Select whether to enable "Anonymous collection."

"Anonymous collection" is a feature that prevents respondent identification during survey responses. It is disabled by default and can be enabled as needed.

📌 The "Anonymous collection" feature is available when adding respondents via file and sending the survey via email or KakaoTalk AlimTalk.

✅ Before enabling "Anonymous collection," please note:

Enabling anonymous collection has the following restrictions:

  • Response links are not personalized, making it impossible to identify respondents.

  • Response status cannot be checked, and resending to non-respondents is not possible.

  • Respondent identification information such as Panel ID and UID will not be available on the Analytics screen either.

💡 Usage tip | "Anonymous collection" is useful for surveys where you want honest opinions without revealing respondent information — such as internal culture surveys or organizational improvement surveys targeting employees.

Q. Is anonymous collection possible when sending surveys using My Panel?

A. When sending surveys to My Panel, a personalized survey link is generated for each respondent, so you can identify who responded even without directly asking for information in the survey questions.

In this case, you can check the sending and response status per panelist, and it is also possible to resend the survey to panelists who have not responded.

step 3. Select whether to allow "Duplicate responses."

Enabling "Allow duplicate responses" allows a single survey link to be answered multiple times. Use this when you want the same respondent to be able to submit their opinion more than once.

5️⃣ Select a sampling method

"Select sampling method" determines how respondents are selected from panelists who meet your targeting conditions.

✅ No quota

"No quota" randomly selects respondents from panelists who meet the targeting conditions. This option is available regardless of whether screening questions are included, the collection method used, or whether the panel is from Korea or overseas.

💡 Usage tip | This is ideal when you need to collect data quickly or conduct exploratory research to get a general sense of direction.

✅ Set quota (stratified random sampling: screening questions)

When the survey includes screening questions, this method allows you to manually define the respondent composition ratio (quota) based on those questions.

💡 Usage tip | This is useful when you want to fine-tune respondent composition for analytical purposes, or manage the number of responses per group for operational reasons.

step 1. Select [Set quota], then click [Add quota component].

step 2. Select the screening questions and choices to use for quota configuration and create quota groups based on your desired conditions.

step 3. Once quota groups are created, enter the target collection count in each cell.

6️⃣ Set the collection goal

This section lets you choose when to stop the survey or how many responses to collect. If either of the two configured conditions is met, that collection group will transition to a "Paused" state.

step 1. Enter the date and time you want to stop collection in "Collection stop date/time."

step 2. Enter the number of responses you want to collect in "Completed responses." 1 collect credit is used per collected response. When sending surveys via email, email credits (sending credits) will also be deducted by the number of emails sent.

step 3. If the survey includes screening questions, you must also enter the number of credits to reserve in "Reserve credit usage."

✅ Important notes when setting Completed responses!

  • Even after collection stops, respondents who have already accessed the survey can continue to the end.

  • If a large number of respondents access simultaneously, responses may be collected beyond the reserved credit limit. Please manage your responses accordingly.

Q. Why do surveys with screening questions require both 'Completed responses' and 'Reserve credit usage'?

A. In surveys with screening questions, 1 credit is used per response regardless of whether the respondent met the screening conditions or completed the survey. As a result, more credits may be consumed than the actual "Completed responses" count. To prevent this, you must also set a maximum credit limit via "Reserve credit usage."

Q. How should I fill in 'Completed responses' and 'Reserve credit usage'?

A. The stricter the screening conditions, the more respondents may be filtered out mid-survey. It is recommended to set the reserve credit count higher than the completed responses target. However, if collection is completed before all reserved credits are used, the remaining reserved credits will automatically revert to available credits.

💡 Email sending also includes these features

Once email sending starts, you can check the sending status in the "Message status" tab of the collection group. You can [Resend] to individual panelists with a "Not responded" status, or click [Resend to all] to resend to all non-respondents at once.

Q. Are sending credits deducted when resending emails to non-respondents?

A. Yes, since an additional message is sent when resending emails to non-respondents, email credits (sending credits) are deducted for each resend.
