Checking Personal Information Collection Status and Setting Deletion Dates

Data collected through personal information items will be automatically deleted 300 days after the survey creation date for secure management and enhanced security.

You can manually adjust the deletion date if necessary, but it cannot be set beyond 300 days.

Additionally, the [Personal Information Collection Status] screen allows you to view at a glance the surveys that still contain personal information pending deletion and their collection status.

How to Check Personal Information Collection Status

1) Go to [Settings > Delete Personal Information > Personal Information Collection Status].

2) You can view projects and surveys that still have at least one piece of personal information, and you can also check the “All Allowed Members” who are permitted to modify the deletion dates.

3) Click the survey shortcut icon and check the personal information deletion dates in [Item Settings] on the right side of the survey.

4) If the personal information is no longer needed, adjust the deletion date of the relevant item to the earliest possible date.

Note: If even one collection group is currently collecting responses, you cannot change the deletion date. Be sure to adjust the deletion date only after the collection has ended.

How to Set Personal Information Deletion Dates

You can directly select the deletion date from [Item Settings] on the right side of the 'Edit' tab. The personal information deletion option is displayed only if the survey contains personal information items.

📌Important Notes!

  • Personal information past its deletion date cannot be recovered, so be sure to use the data within the intended collection period.

  • Deletion dates can only be changed if there are no groups currently collecting responses. If you are unable to change the deletion date, check the [Collection] tab to see if any groups are actively collecting responses.

  • Additionally, from three days before the scheduled deletion date, both deletion date changes and response collection will be restricted. In such cases, copy the survey and collect responses using a new survey.
