Create personal links

Learn how to create personalized links to collect Dataspace survey responses.

What is a Personal Link?

A personal link generates a unique response link for each respondent, ensuring that only one person can respond per link. This feature is ideal for identifying and tracking individual respondents or ensuring that each respondent can only answer once.

How to Create Personal Links

To create personal links, select [Create Personal Links] under 'New Collection Group' in the upper-right corner of the Collection tab, or press the [Create Personal Links] button in the center or bottom of the screen. This will open the collection group's detailed settings screen, where you can configure the following:

① Basic information

This section allows you to set the Name of collection group and check the collection method. The collection group name can be up to 50 characters long.

② Personal Response Links

This section allows you to create and manage unique survey response links. Here’s how you can generate and use these links:

1) Enter the number of links you want to generate and click the [Generate] button. You can generate up to 200,000 links per collection group.

2) Download the generated links as an Excel file. The downloaded file will contain individual response links. You can also edit the file to match respondent information to each link for better management of survey distribution.

3) If you need to adjust the number of links, click the [Edit] button. Note that this can only be done before starting to collect responses.

4) Click the [Start] button at the bottom right to activate the personal response links. Activation means that respondents can access the links and submit their responses.

  • Disabled: If you do not click the [Start] button, the link will remain Disabled. Respondents who access a disabled link will see the message "This survey is not currently collecting responses" and will not be able to answer the survey.

  • Activation: Once you click the [Start] button, the number of generated personal response links will be displayed along with a status indicating that the links have been activated. At this point, you can distribute the links to respondents and start collecting responses.

③ Set Target Number of Responses

This section allows you to set the collection goals for your survey, including the target number of responses and the collection stop date. If either goal is reached, the collection group will automatically switch to the 'Paused' status.

  • Target Number of Responses: Set the maximum number of responses you want to collect for the collection group. The limit per survey is 200,000 responses.

  • Paused At: Set the date when response collection will automatically stop. By default, this is set to one month after the creation date, but you can modify it as needed.
