You can invite new members to your space or remove members who have already been invited. However, only members with Team permissions can perform these actions.
How to invite members
1) Go to Settings > Members in the GNB on the left side of the dataspace.
2) Click the [Invite] button in the [Members] section at the top. If the [Invite] button is disabled, check if you have Team permissions. Team permissions can be granted by the Admin.
3) In the [Invite Members] area, enter the email addresses of the members you want to invite. You can invite multiple members at once by entering multiple email addresses.
🤔 How many people can I invite to a space?
The number of available invitations is determined by subtracting the number of currently registered members and pending invitations from your plan’s total member limit. This number is displayed at the top of the [Members] screen.
4) During the invitation process, you can pre-select the projects that the invited members will have access to. In the [Projects to Collaborate On] section, click the [+Select Project] button to display a list of projects. Select the relevant projects, and they will be applied to the invited members.
Once you’ve selected a project, you can assign access levels for each invited member.
📌 Key Points to Remember
Even if someone is invited as a space member, they will not see any projects unless they are specifically invited to them. Make sure to assign projects during the invitation process.
5) During the invitation process, you can also grant space permissions to invited members. Activate the permissions in the [Set Additional Permissions] area at the top right. However, this feature is only available to members with Admin permissions. If you do not have Admin permissions, the option will be disabled.
📌 Key Points to Remember
A member can hold multiple permissions or none at all. Even without permissions, a member invited to a project can use core Dataspace features, such as editing surveys, collecting responses, and uploading data.
6) Click the [Invite] button at the bottom right to send an invitation email. The invitation process will be completed once the invited member opens the email and accepts the invitation.
7) Accepted members will appear under [Members], while pending invitations will be listed under [Pending Invites].
In [Pending Invites], you can view details such as the invitation date, collaborative projects, and space permissions. You can also cancel the invitation. If you need to modify the projects or permissions for an invited member, cancel the invitation and send a new one.
How to Dismiss Members
1) In [Members], click More on the right side of the account you want to remove and select Dismiss. If Dismiss is disabled, check if you have Team permissions. Team permissions can be granted by the Admin.
🤔 What if I have Team permissions but can’t dismiss a specific member?
If you cannot remove a member despite having Team permissions, check if they hold any space permissions. A member can only be dismissed if they do not have any active permissions.
2) When you click the Dismiss button, a screen will appear for transferring the project permissions of the member you want to remove. Specify a member to receive these project permissions. The new member will gain access to the projects and all related data that the dismissed member had access to.
3) Once dismissed, the member will be removed from [Members], and the number of available invitations will increase accordingly.
